Studio discovery privacy notice

This notice covers the Studio Pilot research and onboarding questionnaire. It is separate from the privacy notice for a studio’s member app.

Who is responsible

What we collect and why

We collect the business information you choose to provide: how your studio operates, the tools and payment arrangements you use, your website links and, if supplied, your name and email. Please do not include student records, children’s details, passwords, payment-card information or bank details.

We use answers to understand studio needs and improve the product. If you choose app onboarding, we also use them to prepare your proposed setup and discuss the service you have requested. We rely on our legitimate interests in understanding and improving our services and responding to business enquiries. Where we take steps at your request towards a contract with you personally, we rely on those pre-contractual steps.

Optional follow-up about whether Studio Pilot suits you is based on your consent. The contact checkbox is separate from submitting the research. We do not add you to a newsletter or sell your details.

You can object to our use of your information for research or withdraw follow-up consent at any time by emailing us. This will not affect earlier lawful use. For research you can leave your studio name and contact details blank, although your other answers or website may still identify you.

Website review and proposed setup

If you give permission, we may review the public pages you link, using software to identify timetable, price and event candidates. We keep the source links and review the results with you. We do not access accounts or private pages. Draft checklists and feature suggestions do not approve pricing, change tax treatment or create a live studio app. There are no solely automated decisions with legal or similarly significant effects.

Who can see the information

Responses are private to authorised Studio Pilot operators. We use OpenAI Sites and its Cloudflare hosting and database infrastructure to operate this website. Their services process information on our behalf. Research summaries will not identify individual studios without further permission.

These providers operate internationally, so processing may take place outside the UK. Applicable provider data-processing terms and transfer safeguards govern that processing; contact us for details. We will not publish responses or send them to another AI service automatically.

Storage and retention

Responses are available in the survey system for 12 months. Expired responses are excluded from results and removed during the next survey or operator request. If you become a customer, information needed for your agreed setup may be moved to your customer record under the service privacy terms. Authorised exports must be kept securely and deleted when no longer needed. You can ask us to delete a response sooner.

Your unfinished draft is stored in this browser tab, not submitted to us. It is cleared after a successful submission or when you use “Clear draft”; browser session restoration may retain it after closing. The survey adds no advertising or analytics trackers. Hosting providers may use essential security logs and cookies. To prevent abuse we use a salted, hourly-changing hash of the request’s network address; the survey database does not keep the raw address, and its rate-limit records expire within a day.

Your choices and rights

Taking part is voluntary. Required business questions let us interpret a response; onboarding additionally needs a studio name, app name and contact details. You can ask to access or correct your information, erase it, restrict its use, object to processing or, where applicable, receive a portable copy. Include your response reference if you have it so we can locate it, and we may need to verify your request. You can also complain to the Information Commissioner’s Office.
